DLP systems: How to protect yourself against data leaks?
DLP (Data Loss Prevention) systems are advanced cybersecurity solutions that allow organizations to protect key information from unauthorized access, loss, or leakage—whether due to intentional actions or accidental employee errors.
What data do DLP systems protect?
By creating rules tailored to the organization’s security policy, DLP software protects, among other things:
Personal data – in compliance with GDPR requirements,
Strategic company documents – plans, financial reports, projects,
Customer databases – CRM, sales systems,
Payment data – credit card numbers, transactions,
Intellectual property elements – industrial designs, trade secrets, and know-how,
Contracts and legal documents.
Built-in mechanisms ensure that any attempt to perform specific operations on designated data types will fail.
What does a DLP administrator see?
A DLP system administrator has access to a wide range of information regarding operations performed within the system. This information covers not only file operations but also the systems and applications used, as well as the categories of processed data.
Operation blocking in a DLP system
Examples of blocks that can be applied using DLP systems may include:
uploading sensitive data to websites and the cloud,
accessing USB drives and portable devices,
sending sensitive data via email, webmail, or instant messengers,
printing documents with sensitive data on local printers.
accessing sensitive data located on a local drive,
copying the contents of a file with sensitive data to another file (e.g., to bypass the source file’s security),
copying sensitive data to media such as USB drives and CDs,
Tailoring the DLP system to your organization
Safetica DLP systems allow you to tailor settings and blocks to the organization’s needs through configuration aimed at achieving predefined goals, e.g., blocking data flow when personal hardware is connected to company devices.
Blocks can cover not only specific areas and channels but also specific types of data. This allows DLP to control the flow of information based not only on document names but also on their content.
This significantly reduces the risk of exposing sensitive data, not only during an attempted theft but also as a result of an unintentional error by a person performing their duties in good faith.
It is also possible to set up security zones, where we can allow or block access for a customized group of devices, domains, and network locations collectively to facilitate management, as shown in the attached console screenshot. This enables coordinated action when, for example, changing the scope of permissions for specific units within the organizational structure.
By using zones, we can be sure that, for instance, all users in a given zone definitely have the correct permissions after a modification. No one is left with access to previously shared data, which can happen when access is managed “manually.”
Implementing Data Loss Prevention solutions should be preceded by a thorough analysis of data processing within the organization. The result of this analysis will be a list of risks that DLP can help prevent.
Any DPO (Data Protection Officer) will immediately notice that the system’s functions align with good practices for personal data management in organizations. DLP systems support personal data management by securing it and facilitating the execution of required procedures in the event of a data breach.
